The Business Administrator provides administrative support to Theatre’s Executive Leadership and Board of Directors, with specific attention to the daily operations of finance and development. The successful candidate will bring strong interpersonal skills, a collaborative approach, experience in handling sensitive information, and have experience in the administrative procedures and tools required to support multiple areas of a complex not-for-profit environment.

Summary of Position:
The Business Administrator provides administrative support to Theatre’s Executive Leadership and Board of Directors, with specific attention to the daily operations of finance and development. The successful candidate will bring strong interpersonal skills, a collaborative approach, experience in handling sensitive information, and have experience in the administrative procedures and tools required to support multiple areas of a complex not-for-profit environment.
Essential Functions
- Administrative Support for Executive Leadership
- Maintain the calendar of staff time off.
- Schedule meetings and events on behalf of Executive Leadership, Board members, and leadership.
- Monitor multiple email inboxes and draft emails as needed.
- Administrative Support for Board of Directors
- Serve as point of contact for the Board of Directors and facilitate board communication in coordination with Executive Leadership.
- Mainstain accurate Board records.
- Schedule Board of Directors and committee meetings in collaboration with Executive and Board leadership, manage meeting RSVPs, coordinate meeting locations, and track attendance.
- Compile, prepare, and distribute meeting materials.
- Take minutes at Board, committee, and leadership meetings and share with members.
- Administrative Support for Finance Department
- Assist Finance and Human Resources Manager in entering invoices into Financial Edge Software.
- Prepare accounts payable weekly.
- Print checks, make in-person bank deposits, and complete additional financial documents as needed.
- Administrative Support for Development Department
- Work in concert with Executive Leadership and Development staff in sending acknowledgement letters thanking donors for their donations.
- Support fundraising and donor engagement events and efforts.
- Onsite Support
- Dedicated onsite days to receive and send mail, organize office files, and meet with staff.
- Support leadership's needs, including but not limited to greeting guests, setting up spaces for meeting and events, and receiving goods.
- Represent the company with diplomacy, discretion and courtesy at all times, safeguarding all confidential information

- Other duties as assigned.
Knowledge, Skills and Abilities
- Strong knowledge of office equipment (e.g., copiers, personal computers, printers, shredders, etc.).
- Skill to type at a speed of 45 words per minute to effectively complete work assignments, prepare correspondence, transcribe notes and minutes, disseminate information to staff and others, etc.
- Skill to independently gather data to compose correspondence (e.g., memoranda, letters, reports, etc.) for review.
- Excellent written and verbal communication skills.
- Strong organizational skills with attention to detail and excellent proof-reading skills.
- Tact, diplomacy and discretion, and the ability to handle sensitive issues in a confidential fashion.
- Ability to take initiative and follow through on projects and tasks working interdependently.
- Ability to develop and maintain effective work relationships with all levels of personnel and external contacts.
- Ability to multi-task and to work with grace under pressure of multiple deadlines.
- Ability to learn and adapt to new responsibilities.
- Ability to prioritize; excellent time management.
- Ability to follow directions, take initiative, close the loops.
- Strong work ethic, integrity, with desire to learn and absorb new information.
- Ability to sit for extended periods of time in front of a computer workstation.
- Ability to lift and carry 15 pounds.
Minimum Qualifications
- Administrative work experience in an office setting or non-profit organization
- High school diploma or equivalent
- Advanced technical skills in Microsoft Office and Financial Edge software (or similar finance software)
- Creative and pleasant personality who enjoys working with a team in a fast-paced, interdependent environment
- A genuine interest in and knowledge of Actors Theatre with a commitment to the organization’s mission
- Reliable means of transportation
Compensation
$45,000/year
